The Office Assistant performs office and donor-related services and works in cooperation with the Data & Donor Solutions Associate and IT Support and Facilities Manager to support all IM colleagues in their work. This position provides front-desk responsiveness and hospitality by greeting visitors and routing incoming calls, in addition to facilitating the mail opening and check processing, while ensuring secure handling and timely and accurate processing of donation information.
Responsibilities
- Works collaboratively with the Data & Donor Solutions Associate, IT Support & Facilities Manager
- Accurate entry of donations made by credit card, check, stock, and donor-advised funds
- Maintains confidentiality of donor information and ensures donor database documentation and maintenance of all donor-related activities, including eliminating duplicates, removing spam, and updating missing and outdated information as indicated in database reports.
- Process donor receipts, send acknowledgments and gratitude, and other relevant correspondence.
- Responds to emails and phone calls from donors and other constituents. Resolving requests or directing requests to the appropriate staff person.
- Facilitates the mail opening process, including coordination, documentation, and secure handling of donations and relevant information.
- Greets visitors warmly at the front entrance and answers incoming calls, provides general information to callers, and routes calls to the appropriate staff member.
- Receipting tribute gifts, closing past due subscriptions, communicating with donors about retiring global servants, and taking steps to close those recurring donations
- Participates in other collaborative efforts, as needed
QUALIFICATIONS AND EXPERIENCE
Education, License, Certification
- Minimum High School Diploma or GED
- Associate or bachelor’s degree preferred
Experience (job-related)
- Minimum of one year clerical or administrative experience
- Minimum 1-2 years of related data entry experience preferred
Knowledge, Skills, and Abilities (KSA)
- Excellent computer skills, including experience with Excel, Word, Outlook and Office 365
- Experience with Salesforce (preferred) or another CRM database
- Strong attention to detail and accuracy
- Strong math and analytical skills and problem-solving abilities
- Strong administrative and organizational skills
- Customer Service/Donor Relations experience
- Ability to support global ministry endeavors in a faith-based organization
