The Global Mission Team Administrative Assistant will provide support to the Area Director for Africa and the World Relief Officer. Area Directors (AD) support, promote and manage personnel and partnerships in different regions of the world, connecting personnel and partners effectively with IM as a whole, and with partners in the U.S. and Puerto Rico. The World Relief Officer (WRO) is responsible for the administration, promotion and oversight of the One Great Hour of Sharing (OGHS) offering that provides funding for relief, development and refugee ministries of ABCUSA. The WRO collaborates with IM’s staff for international ministries and ABHMS’ staff for domestic ministries in directing all aspects of financial and program administration, promotion, compliance, distribution, and accountability for the funds given to the OGHS. In addition, this position will administer the Leadership Development Grant Program. This position is expected to be onsite a minimum of once a week with more frequency for special events.
Responsibilities
Support Area Director for Africa:
- Support all key personnel and partnership-related tasks and processes related to the Area Director. Help facilitate excellent working relationships between the AD and personnel, partners, Mission Partnership Team members, and other IM teams and donors.
- Assist the AD with budget development for grants, project management, fund releases and financial tracking for all personnel and partners throughout the region.
- Coordinate activities related to global servant debriefings at the home
- Plan housing and cultural experiences for international leaders and other visitors hosted by the AD, if applicable.
- Manage multiple priorities while giving top priority to facilitating real-time communication between the AD and global personnel, other IM teams and international and domestic partners.
- Assist in the procurement of visas and travel arrangements for the AD as necessary.
Support World Relief Officer:
- Provides administrative support to the World Relief Committee and One Great Hour of Sharing (OGHS) Programs. This includes ensuring effective maintenance of committee records, preparing materials for meetings, processing payment memos for emergency grants, development projects, office administration and fees, and assisting with the distribution of the annual offering materials for OGHS.
- Supports the Leadership Development Grant Program (LDGP) by coordinating applications, votes for approval, distribution of funds for the scholarship recipient, ongoing communication with the student, and tracking of the availability and use of all LDGP funds.
- Represent the AD and World Relief Officer when they are not available.
- Perform job-sharing teams, i.e. Mail Opening, Phone Reception, Kitchen clean-up, etc.
- Carry out other duties as requested by the AD, WRO, and other IM staff, e.g., participate on committees, provide support/training of other administrative assistants, etc.
- Facilitate registration for conferences and special events.
- Collaborate with MarCom and Development teams on communications, marketing and events communication for personnel, partners, and projects.
QUALIFICATIONS AND EXPERIENCE
Education, License, Certification
- Associate or bachelor’s degree, preferred
Experience (job-related)
- Minimum four years of administrative experience with strong competency in Microsoft Office, Adobe, social media, and finance platforms (NetSuite, Sales Force)
Knowledge, Skills, and Abilities (KSA)
- Ability to work independently with flexibility and willingness to identify problems and demonstrate collaborative problem-solving skills.
- Knowledge of basic finance, accounting, and financial transactions.
- Bi-lingual in French, a plus
- Willingness to work in a multi-cultural and cross-cultural setting.
- Excellent interpersonal, written, and verbal communication with diplomacy skills.
- Demonstrated ability to communicate cross-culturally with effectiveness.
- Demonstrated ability to prioritize and manage multiple responsibilities.
- Knowledge of International Ministries; understanding and support of American Baptist missiology. Membership in an ABC church helpful but not required.
